Workflow automation

The use of software to move work through a defined process with less manual effort: routing tasks, collecting information, applying rules, requesting approvals and recording what happened. It ranges from simple rule-based steps to processes where AI classifies or drafts and people decide.

Why it matters

Automating a process that is poorly understood usually makes the problems faster rather than fixing them. The value comes from agreeing states, ownership and evidence first, then automating the steps that are stable.

In regulated work, automation also has to keep an audit trail and send consequential decisions to an accountable person. Those controls are easier to build in from the start than to add after rollout.

In practice

For example, a UK property manager might automate the route from a failed safety inspection to a completed repair: the finding creates a task, the contractor uploads evidence and a supervisor approves closure, with each step recorded.
