Evidence and approval workflows for professional services

Give reviewers the evidence, ownership and version history they need to approve consequential work.

An evidence and approval workflow connects a conclusion to its supporting material and records who accepted it. It is useful when an email approval or a folder of documents cannot explain how a decision was reached.

Make the reviewable unit explicit

Agree what a reviewer is approving: an individual finding, a complete case or a client deliverable. Each needs different evidence and different authority. We model the decision, its inputs and the conditions for approval so a case cannot silently move forward with unresolved requirements.

Keep evidence attached to the decision

Source documents, extracted information and analyst commentary serve different purposes. We keep those distinctions visible and preserve the version used in a review. If a source changes after approval, the system should identify the affected decision and route it for reconsideration according to your rules.

Handle disagreement and delegation

Reviewers need to return work with reasons, request another opinion and delegate within agreed limits. We build those routes alongside approval. Permissions separate preparation from sign-off where your process requires it, while a decision history records who acted, when and on what basis.

Measure review quality as well as speed

A shorter queue is useful only if decisions remain dependable. Track time waiting for review, repeated returns, missing evidence and reopened decisions. Begin with a single approval route and include an exception in acceptance testing. Our advisory and programme-review work provides related examples; the rules for your service still need to be established with your reviewers.

Discuss your workflow problem

Bring an example of the current process and the decision you need to improve. We can help define a useful first release and assess whether a build is the right next step.
